Job Summary:
Project Coordinators work with project managers, technical managers and/or project analysts to load and track service orders. Track project completion documentation and close out projects for invoicing. Tracks and maintains change request information. Supports teams with document editing, filing, production of proposals, reproduction and downloading of documents, writing purchase orders, checking/matching invoices to quotes, organizing, packing, shipping/unpacking materials, maintaining material inventory records and other tasks as assigned.
Essential Function:
- Prepare process and status reports, assign, and monitor document numbers, and review documents for accuracy and completeness.
- Load and maintain files of engineering drawings, project reports, specifications, product proposals and documentation.
- Manage the technical customer relationship including developing technical requirements, review all customer deliverables and present technical solutions to the customer.
- Manage the overall quality, time, and costs to deliver specific requirements to meet customer satisfaction.
- Develop and maintain positive customer relationships that achieve optimal profitability and growth.
- Prepare workload reports including overdue, status, in progress, etc.
- Track asset inventory and manage the provisioning of assets (such as laptops, software, phones, and other similar engineering tools) for technical staff.
- Communicate effectively with the customer and sales representatives to identify needs and evaluate appropriate solutions.
- Schedule and coordinate all aspects of the project work plan from pre-installation surveys, installations, service calls and customer follow ups as appropriate.
- Identify resources needed and coordinate individual responsibilities.
- Review deliverables prepared by the team before passing on to client.
- Generate quotations that apply project standards and minimize our exposure on the project.
- Ensure project documents are complete, processed and stored appropriately.
- Facilitate Client meetings effectively.
- Keep the project team well informed of changes and updates.
- Ensure accurate invoicing and monitor procurement of materials for all projects.
- Maintain and update customer data base, if needed.
- Document obstacles and delays and seek workarounds.
- Seek opportunities to increase customer satisfaction and deepen client relationships.
- Manage on-boarding tasks for new employees including requesting systems access for our customers.
- Complete required equipment and supply paperwork.
- Climbing communications structures, to include: guyed; self-supporting; monopoles; building/rooftops; grain silos; etc.
- Performing audits: safety; defect and quality.
- Ability to follow daily instructions.
- Ability to run jumpers as needed to complete ongoing scopes of work.
- Fill out required paperwork and printouts.
- Applies job skills and company policies and procedures to complete assigned tasks
Required/Recommended Knowledge, Skills, and Abilities:
- Typically requires a minimum of 2 years of related experience.
- Bachelor’s Degree preferred.
- Advanced degree without experience; or equivalent work experience.
- Proficient in Microsoft Office.
- Ability to investigate and solve complex problems and implement related work improvements with cross functional team members.
- Demonstrate good judgment in selecting methods and techniques for obtaining solutions.
- Ability to communicate information and ideas clearly and concisely, in writing and verbally.
- Ability to actively listen and ask effective questions to accomplish tasks proficiently.
- High degree of accuracy and attention to detail.
- Ability to work in fast paced environment, and ability to meet deadlines.
- Proven ability to effectively meet customer’s needs, build productive internal and external stakeholder relationships and take responsibility for customer satisfaction and loyalty.
- Self-disciplined and able to work independently.
- Solid math skills.
- NetSuite Experience is a plus.
- Ability to apply acquired skills and company policies to accomplish assigned tasks.
Physical Demands:
- Sitting for extended period while viewing a computer monitor and performing various desk work.
- Dexterity of hands and reaching to operate keyboard/calculator and file documents.
- Occasional lifting and carrying of up to 25 lbs.
- Vision requires eyesight sufficiently strong enough to permit extended close work and normal color perception.
- Hearing and speaking to exchange information.
Certificates, Licenses, Registration and Requirements:
- Required – High School Diploma.
- Preferred – Associates Degree or 1-2 years of equivalent training and experience.
